How Filotim tracks a fleet fuel-card application from quick form to installation
Filotim is a Shell Premium Reseller that grew out of the OSAP fuel-purchasing cooperative founded in 2007 and became Shell's nationwide reseller in 2018, selling fleet fuel cards, vehicle recognition units and toll accounts across Türkiye. This case study follows a fleet application in Senitix CRM, from the quick web form through qualification and a quote to the document checklist.

About Filotim
Filotim Yönetim A.Ş. is based in Kağıthane, Istanbul. Its corporate page traces the business to OSAP, a fuel-purchasing cooperative formed in 2007, and states that the company became Shell's nationwide Premium Reseller in 2018. It sells the Shell vehicle recognition system (TTS), a unit fitted to each vehicle for cashless refueling, along with Partner Card, Pratik Kart, FiloPlatform vehicle tracking and corporate HGS, Türkiye's electronic toll system, and lists fuel products such as FuelSave Diesel/95, V-Power and AdBlue, bundled into campaign-based service tiers. Its quick application form asks for the company name, tax number, vehicle count and monthly fuel consumption, and the site states that units ship within four business days once the contract and supporting documents arrive and the application is approved.

The challenge
A fleet quote tends to wait on facts several people hold
A fleet fuel-card deal usually turns on numbers only the buyer can supply: how many vehicles are in service, how much fuel they burn in a typical month, and whether toll charges should land on the same invoice. The paperwork is rarely with one person either: the tax certificate sits with the accountant, the contract needs an authorized signatory, and the vehicle list belongs to the fleet manager.
When qualification lives in a phone note and the documents live across separate email threads, a quote can go out on a guess, and a fleet still waiting on its signature circular can look the same as one ready to decide. A missing vehicle registration form often surfaces only once the units are about to ship.

The solution
One fleet deal, from quick form to installed units
Senitix CRM keeps the application in the order the activation team needs it.
- Qualify on the lead, quote from the tier: Each quick-form submission, call or referral becomes a lead that converts to an account with the fleet manager, the authorized signatory and the finance contact linked as contacts. Custom fields hold the vehicle count range, the consumption range and whether corporate HGS is wanted, and the quote is built from the price book that holds the service tiers, with every revision kept as a numbered version.
- A document checklist the whole team reads: The Documents module keeps one folder per account for the contract, trade registry gazette, tax certificate, signature circular and vehicle registration form. A multi-select field on the deal shows which are in, and the stage guidance for Documents complete reminds the rep what the team agreed must be on file before activation.
- Hand off with dates, not a forwarded email: Once the deal is won, an automation opens dispatch, installation and portal-training tasks for the activation owner. A custom object can hold each vehicle by plate and unit type, and the signed agreement can live on a contract record.
